Who we are
One Two One Wedding Films is a small wedding videography business run by husband and wife Aaron and Becky Smith. We are based near Ripley, Derbyshire, UK.
We are the "data controller" for the personal information described here. That means we decide how it is used and we are responsible for looking after it.
You can reach us at info@onetwooneweddingfilms.co.uk or on 07581218001.
What we collect
When you enquire. Our contact form asks for:
- your name and your partner's name
- your email address and phone number
- your wedding date, venue and ceremony time
- how you heard about us
- which package you are interested in
- anything you tell us in your message
When you book. We keep your booking details, your contract, and records of payments and our emails with you.
On your wedding day. We film you, your guests and your venue. This footage is personal information, as people can be recognised in it.
When you visit our website. Our website provider may collect basic technical information, such as your device type, browser and the pages you visit. See "Cookies" below.
Why we use it, and our lawful basis
The law says we need a valid reason (a "lawful basis") to use your information. Here are ours:
- To reply to your enquiry and give you a quote. Lawful basis: taking steps at your request before entering a contract.
- To plan, film, edit and deliver your wedding film. Lawful basis: contract.
- To keep financial and business records. Lawful basis: legal obligation (for example, tax rules).
- To film your guests. Lawful basis: legitimate interests. Filming the day is what our couples book us for, and we film guests in a natural, respectful way. We are happy to avoid filming anyone who asks.
- To share clips of your film publicly. Lawful basis: your consent. We only do this if you say yes, and you can change your mind.
- To run and improve our website. Lawful basis: legitimate interests, and consent where needed for non-essential cookies.
We do not sell your information, and we will not send you marketing you have not asked for.
Who we share it with
We use a few trusted services to help run our business. They handle information on our behalf and only as we instruct ("processors"):
- Wedola (wedola.co): our contact form and client system for enquiries, contracts and bookings.
- Google Workspace (Gmail): our email.
- Squarespace: hosts our website.
- Gallerio: delivers your finished films to you. Gallerio may use Vidflow to store and play videos.
- YouTube and Vidflow: used to show films on our website.
With your permission, we may also post clips on Instagram, TikTok, Facebook, YouTube and our website. Once something is public, these platforms handle it under their own privacy policies.
Some of these companies may store information outside the UK. Where they do, they should use approved safeguards, such as UK adequacy decisions or standard data protection clauses.
We may also share information if the law requires it, or with professional advisers such as our accountant.
How long we keep it
We only keep information for as long as we need it. Our suggested periods are:
- Enquiries that do not lead to a booking: 12 months from your last contact.
- Booking records, contracts and payment records: 6 years after your wedding, for tax and legal reasons.
- Your wedding footage: We keep raw footage until your film has been delivered and you are happy with it, then delete it. We keep finished films for 3 years, so we can help if you lose your copy.
- Clips shared publicly with your consent: until you ask us to remove them.
After this, we securely delete it.
Your footage and social media
We love sharing our work, but your film is yours too. We will always ask before sharing any clips of your wedding on our website or social media.
If you say yes and later change your mind, just tell us. We will remove the clips from our website and our own social media accounts as soon as we can. We cannot control copies others may have already shared, but we will do what we reasonably can.
If you are a guest and would rather not appear in a film, please let us or the couple know. We will do our best to keep you out of shot or out of anything shared publicly.
Cookies
Cookies are small files saved on your device when you visit a website. Our website is hosted by Squarespace, which uses:
- Essential cookies, which make the site work properly and securely.
- Basic analytics, which help us see how many people visit and which pages they look at.
Embedded videos from YouTube and Vidflow, and our Wedola contact form, may also set their own cookies. Where needed, we will ask for your consent before non-essential cookies are used. You can also block or delete cookies in your browser settings.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the information we hold about you
- ask us to correct anything that is wrong
- ask us to delete your information
- ask us to limit how we use it
- object to us using it
- ask for it in a format you can take elsewhere
- withdraw your consent at any time, where we rely on it
Some rights have limits. For example, we may need to keep some records for tax reasons. Just get in touch and we will reply within one month. There is usually no charge.
